Two-way calendar sync

Sell on every channel. Keep one calendar.

Connect Airbnb, Booking.com, Vrbo, Hipcamp, Pitchup or anywhere else that gives you a calendar link. A booking taken on any of them closes the dates in Keydesk, and a booking taken in Keydesk closes them right back. No exports, no morning cross-check, no apologising to a family who turn up to an occupied pitch.

Two links and you are done

Connecting a channel takes about a minute.

There is no integration project here, and nothing to install. Every major channel already publishes a calendar link for each listing. Keydesk reads theirs, and hands you one of its own to paste back.

Step 01Paste their link in
Copy the calendar link the channel gives you for that listing and drop it into the unit’s row. Keydesk checks it, tells you straight away if it is wrong, and starts importing.
Step 02Paste your link back
Keydesk generates a private link for the same unit. Paste it into the channel once and your Keydesk bookings, closures and manual blocks start appearing on their side.
Step 03Let it run
From then on the dates look after themselves. A booking taken anywhere closes the unit everywhere, and you go back to selling rather than cross-checking calendars.
The connection grid

Set up forty units without forty wizards.

Channel setup is usually a slow, one-listing-at-a-time chore. In Keydesk it is a grid: every unit you own is already a row, so you work down the list the way you would a spreadsheet, and watch each row turn healthy as the first sync lands.

Calendar links are treated as credentials. Once saved they are stored encrypted and hidden from the screen, and they are kept out of logs. Your private Keydesk link can be copied again from its row whenever you need it.
Every unit on one screen
A row for each pitch, pod, lodge or caravan you actually own. Pick the channel, paste the link, move to the next row. No wizard, no one-at-a-time setup for a forty-unit park.
Watch before you trust it
New connections can import in watch-only mode first, so you can see exactly which dates a channel would close before you let it close them. When it looks right, switch it to blocking.
A health view for the whole account
One summary flags connections that are failing, overdue a sync, mapped to the wrong unit or being throttled by the channel. You find out from Keydesk, not from a double-booked guest.
Sync now when you need it
Feeds refresh on their own, but if you have just closed a date and want it gone from a channel immediately, run the sync yourself from the row.
Pause and disconnect on your terms
Pause a channel for the winter, or disconnect it and choose whether the dates it imported stay blocked or go back on sale. Nothing disappears without you deciding.
Closures travel too
Maintenance, an owner’s week, a flooded field: block it once on the Keydesk calendar and every connected channel stops selling it.
The honest boundary

A calendar feed carries dates. Nothing else.

This is worth understanding before you buy, because plenty of suppliers let the word “sync” do a lot of unearned work. Calendar connections solve availability brilliantly and solve pricing not at all. For one channel, Pitchup, Keydesk goes considerably further.

Syncs both ways
  • Bookings taken in Keydesk, sent out as closed dates
  • Bookings taken on the channel, imported as blocked dates
  • Manual blocks you create on the Keydesk calendar
  • Closures, maintenance and owner holds
  • Changes and cancellations, picked up on the next sync
Stays with the channel
  • Prices and rate plans
  • Minimum stays and arrival rules
  • Guest names, contact details and payments
  • Listing content, photos and descriptions
  • Extras and add-ons sold on the channel

Want prices, stay rules, extras and complete bookings to flow automatically? That is the Pitchup API integration.

Where you already sell

Pick the channel by name, or bring your own link.

These are the channels Keydesk lists for you. Anything else that publishes a calendar link connects through the “other” option and works exactly the same way.

Whether a given listing offers a calendar feed is the channel’s decision, not ours, and it can vary by property type. Check yours publishes one before you count on it. Details reviewed .

Built to be trusted with your season

An automation you can actually leave alone.

Availability automation is only worth having if it fails safely. Keydesk is deliberately cautious with your dates: it would rather keep a block you no longer need than release a date you have already sold.

  • Watch first, block later

Import in watch-only mode and see what a channel would close before it closes anything.

  • A failed fetch changes nothing

If a feed errors, Keydesk keeps the last good set of dates and retries rather than reopening your calendar.

  • An empty feed is treated as suspicious

A calendar that suddenly returns nothing is held for review, not obeyed.

  • Problems surface in one place

Degraded connections, overdue syncs, mapping mistakes and channel throttling all appear in a single account health view.

Calendar sync questions

Calendar sync FAQ

What is two-way calendar sync?

It is a live connection between a Keydesk unit and a listing on another booking channel, using the standard iCal calendar feeds those channels already publish. You paste the channel’s calendar link into Keydesk, and paste the private Keydesk link back into the channel. From then on, a booking taken on either side closes those dates on the other.

Which channels can I connect to Keydesk?

Airbnb, Booking.com, Vrbo, Pitchup, Hipcamp, HolidayFox and Agoda can be selected by name, and an "other" option covers any channel that publishes a standard calendar feed. If your channel gives you a calendar link to copy, Keydesk can read it. Support varies by channel and sometimes by listing type, so check that yours offers a calendar feed before you rely on it.

Does calendar sync stop double bookings?

It is the tool most operators use for exactly that, and it removes the manual cross-checking that causes most double bookings. Be realistic about timing though: channels refresh calendar feeds periodically rather than instantly, so two guests booking the same pitch on two different channels within minutes of each other is still possible. High-demand dates you cannot afford to lose are safer held on one channel, or sold through the full Pitchup connection.

Does calendar sync send my prices to the channel?

No. A calendar feed carries dates, not money. Your rates, minimum stays and arrival rules stay under your control on each channel. If you want availability, rates, stay rules and full booking details to flow automatically, that is what the Pitchup API integration does.

What is the difference between calendar sync and the Pitchup integration?

Calendar sync keeps dates aligned across many channels using calendar feeds. The Pitchup integration is a deeper API connection: it publishes prices, allocation, minimum stays, arrival and departure rules and extras, and returns full bookings with customer and financial detail. Use Pitchup’s integration for Pitchup, and calendar sync for everything else you list on.

Do imported bookings show guest details?

Generally no, and that is a limit of calendar feeds rather than of Keydesk. Most channels publish an anonymised feed, so an imported reservation arrives as a blocked date rather than a guest record. You will still manage that guest in the channel’s own system, which is how most operators already work.

How quickly does availability update?

Keydesk fetches connected feeds on a schedule and you can run a sync manually at any time from the connection row. The other half is outside anyone’s control: each channel decides how often it reads your Keydesk link. That refresh interval differs by channel and is worth knowing before peak season.

Can I try a connection before it blocks my availability?

Yes, and we would encourage it. A new connection can run in watch-only mode, importing dates so you can see what it would do without letting it close anything. Once the dates look right for a week or two, switch it to blocking.

What happens if a channel’s feed breaks?

Keydesk keeps the last complete set of dates it successfully imported rather than throwing your blocks away, retries safely, and flags the connection in the account health summary. A feed that suddenly returns nothing is treated as suspicious rather than as an instruction to reopen your whole season.

Does calendar sync cost extra?

No. Calendar connections are part of the Keydesk subscription at £49 per month, per site. There are no per-channel fees, no module upgrades and no Keydesk commission on the bookings that come through. Each channel still charges its own commission directly.

Is this a channel manager?

Not in the full sense, and we would rather be plain about it. A channel manager pushes rates, restrictions and content to every marketplace and pulls complete reservations back. Keydesk does that with Pitchup, and keeps dates aligned everywhere else. If you need rates and content managed centrally across several marketplaces today, say so before you buy and we will tell you honestly whether Keydesk fits.

Working out whether you need a channel manager or a booking system? The categories get muddled on purpose by people selling them.
